Getting started

This guide takes you from an empty account to a published process with scheduled activities.

  1. Open flst.app and enter your email address.

    Flowstate sends you a sign-in link. Opening it creates your account if you are new, or signs you in if you already have one. You can add a password later from account settings if you prefer.

  2. Land in your first workspace.

    A new account gets an organization and a workspace named “My Personal Workspace”. A short, skippable welcome flow lets you rename the workspace, start from a template and invite teammates. Everything in it can be changed later.

A process definition is the reusable description of a process: its name and the activities it consists of.

  1. From the workspace, create a new process. Give it a name such as “Month-end close”.

  2. Add activities. For each one, choose:

    • Kind - a manual activity (someone has to do it and confirm), a notification (an email goes out) or an integration action.
    • Assignee - for manual activities, the workspace member responsible.
    • Offset - where the activity sits relative to the run’s due date, for example three days before at 09:00, or the Monday two weeks before. See Processes and activities for the full set of options.
  3. Add a trigger. The simplest is a manual trigger: you provide the due date when you start a run. Other trigger types start runs from a recurring schedule or from events in a connected source. See Triggers and scheduling.

Publishing takes a due date, calculates the scheduled time of every activity and creates a process run with one activity run per activity.

  • Manual activities send an email to the assignee at the scheduled time, with a link to mark the activity done.
  • Notification activities send at their scheduled time.
  • Everything shows up under Tasks for the people involved, and on the run’s detail page for the whole picture.

If the due date moves, reschedule the run and Flowstate recalculates the activities that have not happened yet.

Open the workspace’s members page to invite people by email. Invitees get a link that is valid for seven days; accepting it adds them to the workspace with the role you chose. See Organizations and workspaces for what each role can do.
